Getting started

How long does it take to get running?

An afternoon for a solo designer, a day or two for a studio. The work is loading your price list and your live projects — that is what guided onboarding is for. You can start issuing quotations on day one and bring the rest in as you go.

What do I need before I start?

Your firm name and UEN, your price list in whatever form it exists, and one live project you are willing to run properly. That is enough.

Do you bring in our past projects?

Yes, as a one-time import quoted by volume and by how clean the records are. Completed jobs come in as history so your reporting is not empty. Live projects are set up by hand during onboarding, where they belong.

Do you train our team?

Studio setup & migration is S$3,500. We build your price book from your last ten quotations, migrate your live projects with their payment positions, set your contract and GST templates, and train your team on their own jobs.

Can I try it before deciding?

There is no free trial. Ask for a demo and we will walk keyplan through your own numbers — your average job size, your close rate, your margin. The term is twelve months with a sixty-day exit, so the first two months are the trial and you keep everything if you leave.

Day to day

Does this replace WhatsApp?

No, and it should not. WhatsApp is the best conversation tool in Singapore and the worst record — you cannot answer “what did we agree the tiles cost?” from four thousand messages. keyplan keeps the record and lets WhatsApp stay the delivery channel. Every document leaves keyplan through WhatsApp or Telegram in one tap, with the message already written.

Does it work with Telegram too?

Yes. Every place a document or message leaves the studio offers both, and you choose which one your firm leads with. One difference worth knowing: WhatsApp opens the right chat with the text ready, while Telegram fills the text and asks you to pick the chat — so a Telegram send is one tap longer.

Does it send messages automatically?

Not today. keyplan writes the message and puts it one tap away; a person still presses send. Automatic sending needs the WhatsApp Business API, which we will say is live when it is live and not before.

Does it work on a phone?

It is built for a phone first, because that is where a designer actually is. Add it to your home screen and it opens in its own window — no App Store download, no separate app to keep updated.

Does it work offline?

No. keyplan needs a connection, and it now tells you loudly when a save has not reached the server rather than letting you believe it saved.

Can my designers see cost prices and margins?

Only if you let them. Cost and margin are an internal layer you switch on or off, and they never appear on anything a client sees. Roles control who sees what.

Can I stop a quotation going out below a certain margin?

Yes. Set a margin floor and quotations below it route to you for approval before they can be sent.

Your clients and the portal

Does my client need an account or a password?

No. The portal opens from a private link you send them. You can add a PIN if you want a second layer, but there is no sign-up, no password and nothing to install.

Do client portals cost extra?

No. Portal viewers are free forever and never count as seats, however many clients you have.

What can my client actually see?

Only what you publish: their quotation, the signed agreement, the schedule, payment stages, invoices, decisions you need from them, and progress updates. A portal is a published snapshot, not a window into your database.

Can my client see my cost prices?

Never. Cost prices are stripped out before a portal is published — they do not reach a client's browser at all, so there is nothing to accidentally reveal.

Does the portal carry my brand or yours?

Yours. Your name, your logo, your colours, on everything a client sees — including the link preview when you send it over WhatsApp. keyplan appears once, quietly, in the footer, and white-label removes even that.

What happens if I change something after sending?

Nothing your client sees changes until you republish. keyplan tells you when a portal is behind, and republishing is one tap.

Can they lose the link?

They can, so the portal offers to add itself to their home screen. Resending the link is also one tap from the client record.

Quotations, contracts and signatures

Can I use my own contract template?

Yes, and you should. Your wording, with placeholders keyplan fills in — firm name, client, contract sum, payment schedule, date. keyplan warns you if you have typed something into the template that should be a placeholder.

Are electronic signatures valid in Singapore?

Electronic signatures are recognised under the Electronic Transactions Act. keyplan records the signature, the signatory's stated name, the exact date and time, and the precise text agreed. Whether any particular contract is enforceable depends on the contract and the circumstances — take your own legal advice on your template.

Can the agreement change after it is signed?

No. The wording is fixed at the moment a quotation is sent and never re-rendered from your current template, so editing a clause months later cannot rewrite what somebody already signed. The signed agreement prints as its own document, with both signatures and a fingerprint of the exact words.

Can my client download what they signed?

Yes, from their own portal, any time.

What about revisions?

Every version is kept. Your client sees the current one and can look back at the earlier ones they were actually sent — never at an internal draft.

Do you support the CaseTrust contract?

Yes. Upload your filed CaseTrust contract and it becomes the agreement, with the keyplan quotation as the scope and price annex. There is also a CaseTrust readiness checklist and an audit binder export for renewal.

Money, GST and variations

How does it handle variation orders?

As additions or omissions, both signed. Omissions deduct from the amount payable everywhere — the contract sum, the payment schedule, the invoices and the profit figure — rather than being noted and forgotten.

How are progress claims calculated?

Each stage bills its own percentage of the contract, and approved variations are claimed on the next stage that has not been invoiced yet. One engine produces the figure everywhere it appears, so the project card, the invoice and the client portal cannot disagree.

Does it handle GST?

Invoices and client documents show what the client pays, GST included. Profit, margin and commission are calculated on the GST-exclusive value, because GST is collected for IRAS and was never the firm's money. Paying a designer a share of it comes out of your pocket.

Can it file my GST return?

No. keyplan is not accounting software and does not file anything. It records what your accountant needs and exports it.

Does it work out designer commissions?

Yes — on the value the firm actually keeps, with splits between a sales and a delivery designer where you use them, on a won or on a paid basis.

Will it tell me if a job is losing money?

That is the point of the project P&L: contract value against committed and actual costs, while you can still do something about it rather than at year end.

Does it connect to Xero or QuickBooks?

Not yet. Everything exports as spreadsheets your bookkeeper can work with. A direct sync is on the list, not in the product.

Can clients pay through keyplan?

No. Invoices carry your PayNow and bank details and the money moves the way it always did.

Data, security and PDPA

Where is my data kept?

In a managed PostgreSQL database, with every firm's records isolated at the database level and enforced by the server rather than by the app. One firm cannot reach another's data even if the application had a bug.

Who at keyplan can see my data?

Nobody, in the ordinary course. Access happens only when you ask for support, only for as long as that takes.

Do you use our data to train AI?

No. Not ours, not anyone's, and our contracts with the AI providers say the same. The assistant sees aggregate figures — counts and totals — with no client names or contact details in them by design.

Are you PDPA compliant?

We handle personal data in accordance with the PDPA, publish a Data Protection Officer contact, and provide a written Data Processing Addendum — which matters, because a software supplier only qualifies as a data intermediary under the PDPA if there is a written contract in place.

Can I record a client's NRIC?

You can, where you are permitted to collect one — at contract signing, for instance. keyplan masks it in the interface and never uses it as an identifier. Whether you may collect it at all is governed by the PDPA and remains your decision.

What happens if there is a breach?

We assess it, tell you without undue delay, and give you what you need to meet your own notification obligations. You decide whether to notify the Commission and your clients for data we hold on your behalf, because that data is yours.

Can I get my data out?

Any time, as spreadsheets, without asking anyone. If you cancel you keep access to export for 30 days.

Plans and pricing

Is there a free trial?

No. Instead there is a sixty-day exit on a twelve-month term — take two months on a real project, and if it is not working, stop. Every month you have paid for and not used is refunded, and you take everything with you as spreadsheets. The two months you used and the setup fee are not refunded, because that work was done.

What counts as a user?

Anyone who signs in: designers, admin staff, the owner. Clients never need accounts and never count as seats.

What is the difference between Solo and Studio?

Seats, and only seats. Every feature ships in both. Solo is one user at S$149; Studio covers five at S$499 and each extra person is S$59, with no cap.

How does annual billing work?

Pay for the year and take 10% off, billed as clean twelve-month line items a bookkeeper can file in one entry. You can start monthly and switch.

What does white label include?

Your client portal on your own domain, your identity across everything a client sees, and no mention of keyplan anywhere — including the link preview. Your team still signs in to keyplan as normal. Priced as an add-on to either plan.

Is there an onboarding fee?

Studio setup & migration is S$3,500 and is not waived — it is the work that gets a firm off spreadsheets, and it is done by hand.

Do you offer grant funding or PSG support?

No. keyplan is not on the IMDA pre-approved solution list, so it is not PSG-supported, and we would rather tell you that than have you find out from the Business Grants Portal.

The company behind it

Who builds keyplan?

A working Singapore interior design studio. keyplan started as the tool that studio runs on, refined daily against real jobs, real clients and real disputes — which is why it already knows what a retention sum and a defects list are.

Why should I trust a small team?

Because you can leave whenever you like and take everything with you, and because the people building it are answering their own client's WhatsApp at 9pm the same as you are.

What is on the roadmap?

Automatic messaging once the WhatsApp Business API clears, accounting sync, and background notifications. We will name a feature as shipped when it ships and not before.

How do I get support?

Email, and WhatsApp during Singapore business hours. There is also an assistant inside keyplan that answers questions about your own studio.
